How BFAS handles your data.

1. Introduction

Beltagy Football Analysis Services ("we", "our", or "us") respects your privacy and is committed to protecting your personal data. This Privacy Policy outlines how we collect, use, share, and safeguard your information when you register for and participate in our online courses, webinars, and internship-related opportunities.

By completing our registration forms and confirming your consent via the provided checkbox, you agree to the collection and use of your personal data as outlined in this policy.

2. Data We Collect

We collect personal data you voluntarily provide when registering and participating in our courses, including but not limited to:

  • Name, email address, phone number
  • Country/city of residence, age
  • Course preferences, motivations, expectations
  • Attendance records and participation data
  • Payment details and refund history (e.g., billing information, payment history)
  • Consent and agreement responses (e.g. WhatsApp contact)

3. How We Use Your Data

We use your data to:

  • Manage course registration, participation, and certification
  • Communicate course updates, reminders, and support
  • Process payments and manage instalments or reminders
  • Conduct surveys and gather feedback in order to improve our courses
  • Comply with legal and financial record-keeping obligations
  • Marketing and advertising measurement: where you have given consent, we process your data to measure the performance of our advertising, deliver relevant ads on platforms such as Facebook, Instagram and LinkedIn, and analyse how visitors use our site (see section 3a for details on cookies, the Meta Pixel and the LinkedIn Insight Tag).

We process your personal data in compliance with the EU General Data Protection Regulation (GDPR), the UK GDPR, and applicable national privacy laws. Your data will not be shared with third parties without your explicit consent, except where required to deliver the services described above or by law.

3a. Cookies, Analytics & Marketing

We use first-party cookies for site analytics and the Meta Pixel (provided by Meta Platforms Ireland Ltd.) to measure how visitors use our site and to deliver and measure advertising on Facebook and Instagram. The Pixel may collect your IP address, browser and device data, and the pages you view.

We also use the LinkedIn Insight Tag (provided by LinkedIn Ireland Unlimited Company) to measure the performance of our LinkedIn advertising and to build audiences for campaigns, for example around our conferences and events. It may collect your IP address, device and browser information, and the pages you view on our site. These advertising tags are deployed through Google Tag Manager (provided by Google Ireland Ltd.), a tag-management tool that itself does not collect personal data but loads the tags described here. These advertising tags load only after you accept marketing cookies via the banner below.

For general site analytics we use Google Analytics 4 (provided by Google Ireland Ltd.), which sets first-party cookies (_ga, _ga_*) to measure page views, traffic sources, and how visitors move through the site. It collects your IP address (truncated), device and browser information, and the pages you view. Google Analytics loads only after you accept analytics cookies via the banner below.

When you submit an application or contact us, we send hashed (SHA-256, irreversible) copies of identifying fields (email, phone, name, city, country, and date of birth) to Meta to improve advertising attribution. Meta can only match these hashes against their own users and cannot use them to identify you outside that matching context.

Cookies we set:

  • Strictly necessary: none beyond standard session handling.
  • Analytics: first-party event logging (page views, form starts, time on page), Google Analytics 4 (_ga, _ga_*), and Microsoft Clarity (session replay and heatmaps).
  • Marketing: Meta Pixel cookies (_fbp, _fbc) for ad measurement and audiences on Facebook/Instagram, and LinkedIn Insight Tag cookies (li_gc, bcookie, lidc, UserMatchHistory) for ad measurement and audiences on LinkedIn.

Lawful basis: Consent (Art. 6(1)(a) GDPR) for non-essential analytics and marketing cookies, captured via the cookie banner on your first visit. You can withdraw consent at any time using the "Manage cookies" link in the footer; doing so will stop further tracking from this device.

Retention: Meta retains Pixel event data under their own Data Policy, and LinkedIn retains Insight Tag data under their own Privacy Policy. Google Analytics data is retained for up to 14 months. Our first-party analytics events are retained for up to 24 months for trend analysis.

4. Legal Bases for Processing

Our processing of your personal data is based on one or more of the following legal bases:

  • Performance of a contract: to provide you with the course and related services
  • Legitimate interests: for course improvement, administration, and alumni engagement, fraud prevention, and communication
  • Consent: for optional communications (such as WhatsApp reminders and surveys) and for non-essential analytics and marketing cookies (see section 3a)

5. Introductory Meeting Notice

Before the course begins, we conduct an introductory session to explain all terms, expectations, and course rules in detail. During this session, participants are encouraged to ask any questions to ensure informed consent.

By ticking the consent box in our registration form, you confirm you understand and agree to these terms and have had the opportunity to ask questions before submitting your data.

6. Webinars, Partnerships, and Internships

Webinars

When you register for our webinars, we collect relevant information such as your name, age, contact details etc. This data helps us assess relevance, tailor content, and manage event logistics. It is securely stored and not shared without your consent.

Internship & Partner Opportunities

We collaborate with third-party organisations to help place participants in internships or practical football-related opportunities. If you apply for such opportunities:

  • We may share only relevant data (e.g., CVs, background, contact information) with our trusted partners.
  • You will always be informed in advance and your explicit consent will be sought before we share your data for these purposes.
  • You may withdraw your consent at any time by contacting us.

7. Data Sharing and Disclosure

We do not sell or rent your personal data to third parties. We may share your data with:

  • Service providers who help us deliver our courses. We use trusted third-party platforms (e.g. Zoom) to deliver our courses and communications. These providers operate under their own GDPR-compliant privacy policies and data processing standards.
  • Legal or regulatory bodies, if we are required to do so under the law.

8. Data Retention

Your data will be retained for as long as necessary to fulfil the purposes it was collected for, including:

  • Course and participant administration
  • Alumni engagement and future opportunities
  • Financial and legal record-keeping

This may exceed 12 months, depending on our operational needs. You may request earlier deletion, except where we are legally obliged to retain data (e.g. for payment or invoicing records). To do so, please email info@beltagyfootball.com.

9. Your Rights

Under GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct or update inaccurate or incomplete data
  • Request the deletion of your data (Article 17)
  • Object to or restrict certain types of processing
  • Withdraw consent at any time
  • Raise a complaint with the relevant data protection authority

10. Communication Consent

By providing your contact details, you consent to receive communications related to your course participation, including:

  • Email: for essential course information and updates
  • WhatsApp: occasionally used to remind participants about upcoming sessions or outstanding instalments (we do not send promotional content or links)

You can opt out of any channel at any time by contacting us by email.

11. Data Security

We take appropriate technical and organisational measures to protect your data against unauthorised access, loss, alteration, or misuse. Access to your data is strictly limited to authorised personnel.

12. Changes to This Policy

We may update this policy from time to time. Any significant changes will be communicated directly to you by email.
